How to reply to a Google review

The reply is not for the reviewer. They have already had their experience and moved on. The reply is for the next person reading your profile, who is deciding whether to trust you, and who will read a two-year-old complaint alongside how you handled it.

That is why the structure matters more than the wording. Good replies do four things, in this order:

  1. Thank them by name. Even for a one-star review. It signals to every future reader that criticism does not rattle you.
  2. Acknowledge the specific thing. Generic replies read as automated. Naming the actual issue proves a person read it.
  3. Say what changes. One sentence. Not an excuse, not a policy explanation, just what is different now.
  4. Move it offline. Offer a direct contact so the argument does not continue in public where everyone is scoring it.

What not to do

Do not argue the facts in public, even when you are right - the reader sees a business fighting a customer and stops reading. Do not confirm private details about anybody, which matters enormously for medical, dental and legal practices. Do not paste the same reply under twenty reviews; Google shows them stacked, and the repetition is obvious.

And do not leave positive reviews unanswered. Replying to all of them, not only the bad ones, is one of the few things about your review section that you fully control.

Doing this across every location

This tool drafts one reply at a time from a lexicon model, with no account needed. Inside GBP Manager the same job runs across every location you manage: one inbox for every review, filters that surface what still needs an answer, reusable templates, and AI drafts grounded in what the reviewer actually wrote. Nothing is ever sent to Google without a person approving it.

Questions about review replies

Yes. Replying to positive reviews as well as negative ones is a trust signal for the humans reading your profile, and it is one of the few parts of your review section you fully control. It also takes seconds once you have a template.

Within a day or two if you can. Speed matters less than the reply existing at all, but a complaint sitting unanswered for a month reads as a business that is not paying attention.

Only Google can remove a review, and only if it breaks their policies. You can report it, but the realistic play is a calm public reply that gives the next reader your side. Our free credibility checker can help you decide whether a review is worth reporting.

It is safe as a drafting aid and risky as an autopilot. A draft that a person reads, edits and sends is fine. A system that publishes to Google unattended will eventually post something you would never have said, under your name.

Response rate is one of the signals associated with an actively managed profile, and it plainly affects the human decision happening on your listing. Treat it as a conversion lever first and a ranking lever second.
